AI in the Workplace: Practical Opportunities, Real Risks and Getting Started the Right Way

Last week, Heron IT Managing Director Colin Hammond had the pleasure of presenting to the team at Ben Holden Ltd, exploring one of the most talked-about topics in business today: Artificial Intelligence.

The session focused on a question many organisations are currently asking:

“How can we make use of AI without compromising security, confidentiality, or quality?”

As with most new technologies, there is a great deal of excitement surrounding AI, but also understandable concerns. Our aim was to cut through the hype and provide a practical, balanced view of how businesses can begin using AI tools effectively and safely.

AI is Already Changing the Workplace

Whether we realise it or not, AI has already become part of everyday working life.

Employees are using tools such as ChatGPT, Microsoft Copilot and other AI assistants to:

  • Draft emails
  • Summarise meetings
  • Create reports and presentations
  • Analyse data
  • Generate marketing content
  • Research information more quickly

Used well, these tools can save significant amounts of time and allow people to focus more on higher-value work.

However, there are important questions that every organisation should consider before embracing AI at scale.

Not All AI is Equal

One of the key messages from the presentation was that organisations need to understand the difference between consumer AI services and business-grade AI platforms.

Many public AI tools may use submitted information to help improve their models or store data outside of an organisation’s control. Employees may unknowingly paste customer information, commercially sensitive data or confidential material into systems that have not been approved by the business.

This creates potential risks around:

  • Data protection
  • Confidentiality
  • Intellectual property
  • Regulatory compliance
  • Client trust

For this reason, businesses should ensure that staff understand which AI tools are approved and how they should be used.

Why Microsoft Copilot is Different

The session explored why Microsoft Copilot is becoming the preferred AI platform for many organisations already using Microsoft 365.

Unlike public AI services, Copilot can operate within the security, compliance and permission structure that organisations already have in place.

This means users can benefit from AI-powered assistance while maintaining the governance and controls that businesses expect from their Microsoft environment.

Examples demonstrated included:

  • Summarising lengthy documents
  • Creating first drafts of reports
  • Analysing information in Excel
  • Generating meeting summaries
  • Improving communications and presentations

The emphasis throughout was that AI should be viewed as an assistant rather than a replacement for human judgement.

The Human Still Matters

One of the most important takeaways from the session was that AI is not infallible.

While AI can dramatically improve productivity, users must still:

  • Verify information
  • Review outputs
  • Apply professional judgement
  • Ensure accuracy before sharing content externally

The best results come when experienced people combine their expertise with AI tools, rather than relying on AI alone.

Starting Small and Building Confidence

For organisations considering AI adoption, our advice is simple:

Start small.

Identify a few repetitive tasks that consume staff time and test how AI can help streamline those activities. As confidence grows, usage can expand into other areas of the business.

Successful adoption is rarely about technology alone. It is equally about governance, training and helping staff understand both the opportunities and the risks.
